Backend functions for organizer
Here you will find the most important functions for working in the backend of My Event from kulturgehtweiter.de - we hope that you will get along with it and that we were able to answer your questions in the FAQ.

Organiser Dashboard
The new Organiser dashboard shows an overview of the overall realtime activities of Organiser's events with statistic chart and sales data for a quick overview about their Event tickets sales performance.
Simple Events
In MY EVENT, you can create a single & multiple days event. Each event belongs to an organizer. Admin & Organizers can create events from the backend.
IMPORTANT:
- You have to SAVE before switching the tab
- After uploading or creating VENUE, TICKET, MEDIA, SUBPAGE/TAG you have to choose from dropdown and SAVE
Create Simple Event
Simple event here refers to single or multiple days event. Click on to get started.
Details
The first step is mandatory to proceed to the next step. Add these details to proceed to the next steps-
- Create Organiser
- Category
- Event name
- Event excerpt (optional)
- Event URL (auto-generated)
- Description
- Why to attend event? (optional)
- Display options and settings
USE THESE OPTIONS TO PROMOTE YOUR EVENT
- Event Highglight/Featured -> Go to BOOK ADVERTISING to make your event more visible
- Event Promotion (e.g. Banner advertising) -> Go to BOOK ADVERTISING to make your event more visible
Timing
Set timing for single or multiple days event.
Form Fields

- Add time tables for multiple day events
Tickets
Create tickets for the event.
- Tickets can be

. - Taxes can be applied to each ticket separately.
- Multiple taxes can also be applied to each ticket.
- Custom Ticket Order, to show the tickets on Checkout Page in your desired order/sequence.
Form Fields
- Title
- Price (set 0 for Free ticket)
- Capacity (max bookings each ticket)
- Booking Limit Per Customer (For how many times the same customer can purchase this ticket)
- Description (ticket amenities info) (optional)

Link to your ticketshop or website
Create a link to your own ticketskop or webiste for the event.

Media
Upload event poster, thumbnail, and images. Please upload the mentioned size of images. You can also choose from your Library or the free Pexels Library.

Write meta titles, keywords, and descriptions. These tags will be specific for each event, for event-specific SEO.

Manage Events
The organizer can manage only own their events from the front end, while Admin can access all organizers' events from the Admin Panel.
Export Attendees
Organizers can export their event's attendees list to a CSV
file, with full booking & customer details.
Simply click on button on the Manage Events page.
Manage Subpages/Tags
As mentioned before, subpages/tags can be Sponsors, speakers, hosts, guests, VIPs, or anything you want. You can create any number and type of them.
Each tag belongs to an Organizer and to their Events. Basically, organizers can add tags, and link them to their events.
Create Tag

- Sub Title - Brand/Company name or any sub-title (optional)

- Profile Page - whether to show a profile page for tag.
If you select Profile Page - Yes, then you can also add these Optional details.

Share Event
The event can be shared on social media websites from the Event detail page.
Manage Venues
The organizer can add multiple Venues to which they can link to their events. Venues also have their Listing & Detail page.
Add Venue To Event
From the Event Setup Form, you can select event location from the list of Venues.
Browse Venues
You can browse through all the venues with filters.
Venue Page
Venue has their seperate pages to show all the details about the venue along with a Request for Quote form.
Booking Event's Tickets
MY EVENT has a super simple, secure & fast checkout process. In MY EVENT we've added time-bound checkout. A checkout timer of 5 minutes will run during the checkout, in that period, system will block selected tickets or seat for the attendee so that they book tickets easily before ticket being go out-of-stock in case of high sales.
- Customer can make bookings of any events, for themselves.
- Admin can make bookings of any events, for Customer.
- Organizer can make a booking of THEIR OWN events only, for Customer.
Customer: Booking Tickets
Customers can book tickets within few clicks.
- Go to the Event page and scroll down to
Get your tickets now
section. - Click on the event date.
- On the
Checkout
popup, select ticketQuantity
. - Then, select a payment option and click
Checkout
.
Organizer: Booking Tickets
An organizer can book tickets for customers, only of THEIR OWN events.
- Organizer must know the registered email of the Customer, to make bookings for them.
- Customer must be registered on the website.
The Customers are Private for Organizers. Organizers can't see all the customers.
For an Organizer, to book a ticket for a customer:
- Go to the Event page and scroll down to
Get your tickets now
section. - Click on the event date.
- On the
Checkout
popup, enter customer email in theSelect Customer
auto-complete dropdown. - Select the ticket

. - Then, select a payment option and click
Checkout
.
Payment Option: Free
There are 3 types of payment options-
First is- Free (checkout-free). In the case of free tickets, you can make bookings directly without going through any payment gateway.
Payment Option: Offline
Offline (Cash on Arrival). This option means you can make a paid booking without making any payment, like, booking premium/paid tickets without going through a payment gateway.
- Organizers & Admin can make bookings for customers directly, without making any online payment.
- And then, they can collect the money via some external payment sources or in cash.
Payment Option: Online
Online Payment via payment gateways. MY EVENT comes with an integrated PayPal
express checkout payment gateway.
Paid or UnPaid Booking
Added a new & very important Booking Status
called Is Paid
- Yes
or No
. It shows, whether the booking amount has been paid by the customer or not.
As there are having different types of Payment Options
, the Is Paid
status varies accordingly-
- Free Checkout-

After receiving the payment in case of Offline Payment
, Admin, or Organizer can update the Is Paid
status to Yes

Booking Process
Let's see, what exactly makes the booking & checkout process so faster & smoother. The below info is just to show you, what's going on under the hood.
The booking process is separated into two parts (micro-services). When you click on the Checkout button, below is a list of all processes that take place under the hood.
Pre-booking process
- Initiate a progress loader that shows checkout progress.
- Validate the booking, if fails, stop the process and throw an error.
- If successful, start processing payment.
- On successful payment, finish the booking process. (finish pre-booking process).
- Show successful payment & booking notification alert and redirect to
My Bookings Page

Post-booking process
- On the bookings page, initiate a progress loader that shows post-booking progress.
- Generate Ticket PDF.
- Send Ticket emails & notifications to
Customer
,Organizer
&Admin
. - Finally, finish the post-booking process and show notification alert.
Benefits of the Booking Process
- Independent pre-booking & post-booking processes.
- Faster checkout, lesser waiting time.
- More reliable, e.g if email sending fails, it won't affect other related tasks.
- For more clarity for each task, a user can track each process and can contact support about the exact issue.
Email Notifications
Admin, Organizer, and Customer, all of them receive notifications separately.
Customer Notifications
The customer receives notifications on-
- Making a new booking.
- Booking cancellation status updates.
- On registering a new account (Signup).
Organizer Notifications
Organizer receives notifications on-
- If Customer makes a booking of the Organizer's event.
- Booking cancellation requests of their events, and booking cancellation status updates.
Multi-Lingual Email
Email notifications are sent in multiple languages. The emails will be translated into the user's current language. It's compatible with RTL modes as well.
Manage Bookings
Managing the bookings is a breeze. Customers, Organizers, and Admin, all have separate Bookings
